BOOKING & CANCELLATION POLICY
Hansa Holidays Booking & Cancellation Policy

This Booking & Cancellation Policy outlines the terms applicable to all travel services booked through Hansa Holidays (“Company”, “we”, “our”, or “us”).
By confirming a booking with us, you agree to the terms set out below.
1. Booking Confirmation

All bookings are subject to availability and confirmation from the relevant service providers (airlines, hotels, tour operators, transport companies, visa agencies, etc.).

A booking is considered confirmed only after:

Required documentation has been received, and
-
The applicable deposit or full payment has been successfully processed.

Written confirmation (email or official invoice) will be issued once the booking is secured.
2. Payment Terms

A deposit may be required at the time of booking.

Full payment must be completed before the travel date as specified in your booking confirmation.

Failure to make payments within the stipulated timeline may result in automatic cancellation without prior notice.

Prices are subject to change until full payment is received.
Accepted payment methods will be communicated at the time of booking.
3. Pricing Policy

Prices are based on current fares, taxes, exchange rates, and supplier charges.

In the event of fluctuations (e.g., airline surcharges, currency variations, government taxes), we reserve the right to revise pricing before final payment.

All pricing details will be clearly communicated before confirmation.
4. Amendments to Bookings

Any request for changes (dates, names, services, itinerary modifications) must be made in writing.

Applicable amendment fees

Additional charges may apply depending on the nature of the modification.
Name corrections on flight tickets may attract airline penalties and administrative fees.
5. Cancellation by Client
All cancellation requests must be submitted in writing via email.
As travel arrangements involve coordination with multiple third-party suppliers worldwide, cancellation charges will apply once a booking has been confirmed. These charges will vary depending on factors including, but not limited to, the policies of airlines, hotels, transport providers, destination management companies, and other service partners, as well as the time remaining prior to departure.
Cancellation fees may include any non-refundable deposits, penalties, or charges imposed by third-party suppliers, including but not limited to airlines, accommodation providers, transportation services, rail operators, excursion providers, visa authorities, and other travel-related services. Administrative and service fees may also apply.
Please note that certain components of your itinerary may be partially or fully non-refundable once confirmed.
Additionally, each itinerary or tour may be subject to specific cancellation terms based on the policies of the relevant suppliers and service providers. The applicable cancellation policy for your particular booking will be shared with you at the time of confirmation of your travel arrangements.

Non-Refundable Components
Certain elements of a travel itinerary may be non-refundable once confirmed. These may include, but are not limited to, special event tickets, permits, exclusive experiences, transportation services, rail journeys, cruises, private charters, peak-season reservations, advance-purchase fares, and other services that require prepayment or have strict supplier cancellation policies.
Where such non-refundable components apply, clients will be informed at the time of confirmation of their travel arrangements. In the event of cancellation, any non-refundable costs incurred by Hansa Holidays on behalf of the client will be deducted from any applicable refund.
6. Cancellation by Hansa Holidays
We reserve the right to cancel bookings in exceptional circumstances, including but not limited to:

Force majeure events (natural disasters, political unrest, pandemics, government restrictions, airline shutdowns, etc.)

Insufficient participation in group tours

Supplier insolvency or operational failure
In such cases, we will:

Offer alternative arrangements where possible, or

Process refunds as per supplier policies
We shall not be liable for additional expenses incurred outside the booking amount.
7. No-Show Policy
Failure to arrive for a scheduled service (flight, hotel, tour, transfer, etc.) without prior notice will be treated as a no-show.
No-show bookings are typically non-refundable and may incur 100% cancellation charges.
8. Travel Documents Responsibility
Clients are solely responsible for:

Valid passports

Visa approvals

Health certificates
-
Travel insurance
-
Compliance with destination entry requirements
Hansa Holidays shall not be responsible for denied boarding, visa rejection, or entry refusal due to incomplete documentation.
